Quick answer

At 26 to 50 vehicles, carriers typically price a fleet mostly on its own record: how often claims happen and why, three to five years of loss runs and the safety program behind the drivers. Each truck is still rated, but the account's history and controls usually decide which carriers compete for it. Established-fleet quotes from us begin at a $1 million combined single limit, and we place some fleets larger than 50 as well.

01How carriers read an established fleet

By the time a business runs thirty or forty vehicles, its own claims record often becomes the most useful thing an underwriter can study. A single accident usually matters less than the pattern: how many claims arrive each year for the size of the fleet, what kinds they are and whether the numbers are moving in the right direction.

Patterns usually tell a story. A run of backing claims points to yard layout or spotter rules; rear-end collisions point to following distance and phone use; several claims from one location point to a supervisor or a route. Underwriters look for those patterns, then look for what the business did about them.

Management comes into view as well. At this size, carriers often ask who owns fleet safety, whether accidents are reviewed by a person or a committee, how claims get reported and who keeps the vehicle schedule current. The coverages themselves are generally the ones on our commercial auto insurance quote page, and the California commercial truck insurance page takes each body type in turn. Fleets this size are the core of our California fleet insurance work.

02Running a driver program for dozens of drivers

With forty drivers, turnover alone can mean hiring every few weeks. A program that works at this size runs the same way regardless of who's doing the hiring: written qualification criteria, an MVR before the offer, a road test in the type of vehicle the person will drive and an orientation on your vehicle rules before the first shift.

  • Annual review of every driver's record or continuous monitoring that flags new violations.
  • Refresher training after an at-fault accident, with the outcome documented.
  • A cell phone and distraction policy that binds supervisors as well as crews.
  • Clear rules on passengers, personal use and who may move a vehicle in the yard.
  • A file for each driver holding their MVRs, training records and signed rules.

If some units are rated 26,001 lbs GVWR or more, those drivers generally fall under CDL rules too, and the trucks may need a Motor Carrier Permit, which our guide to California Motor Carrier Permit insurance filing explains.

More detail

03Claims handling and evidence

Established fleets are often measured partly on how they handle a crash in the first hour. Many carriers like to see a written first-report process: what the driver does at the scene, who they call, how photos and witness details are collected and how quickly the claim reaches the carrier.

Evidence can matter as much as speed. In its 2020 review of trucking verdicts, the American Transportation Research Institute found that proven spoliation, meaning lost or destroyed evidence, "almost always ensures immediate jury sympathy for the plaintiff." ATRI studied cases involving large trucks, but the lesson carries to most fleets: Save the dashcam clip, the telematics data and the driver's notes as soon as a serious claim is possible.

  • A crash kit in every cab: a card with steps, an exchange form and a reminder not to discuss fault.
  • A rule that footage from any incident is saved before the device overwrites it.
  • One person who reports claims to the carrier and follows each one to closing.

Our guide to fleet safety and claims defense goes further on footage, data retention and driver coaching.

04Keeping a large schedule accurate

Forty vehicles usually means a steady stream of changes: units replaced on a lease cycle, trailers bought for a new contract, trucks moved between yards, values that drift each year. A change that doesn't reach the carrier can become a small coverage question waiting for a claim.

Some fleets this size ask whether liability can be written on an any-auto basis, so a newly bought truck may have liability coverage before the paperwork catches up. Not every carrier offers it, and physical damage generally still follows the schedule. For the details, see scheduled auto vs any auto.

Trailers deserve their own lines on the list, each with its value. How liability applies while a trailer is hitched depends on the policy, so list every one; see trailer coverage on a commercial auto policy.

05Trades and vehicles at 26 to 50 units

Businesses that reach this size tend to have more than one line of work or more than one region: a service company running plumbing and HVAC under one roof, a utility contractor with drill rigs and vacuum trailers in several counties, a paving company with dump trucks, rollers on trailers and crew pickups or a distributor with route trucks out of two warehouses.

Heavier units often enter the picture here. A tree service with bucket trucks and chip trucks, or a grading contractor with tandem dumps near the 45,000-lb line, will usually see different underwriting on those units than on its pickups; our page on dump truck insurance quote covers how heavier dumps are often placed.

Trade pages with more detail include utility contractor truck insurance, paving contractor truck insurance and tree service truck insurance.

06Limits, certificates and contracts

Established fleets usually carry a $1 million combined single limit, our starting point, because public agencies, general contractors and large commercial customers often ask for it in writing. The lower options, $300,000, $500,000 and $750,000, still exist, but a fleet with dozens of active contracts seldom finds every one of them willing to accept less.

Certificate volume is the other change. Instead of naming each customer one at a time, many policies at this size use blanket additional insured and waiver of subrogation endorsements that generally apply when a written contract requires them. Ask whether yours does. Our page on commercial auto liability insurance goes through limits and contract language, and uninsured motorist coverage for business vehicles can protect your own drivers when the other side has no insurance.

07Running more than 50 vehicles

Our programs are built for fleets up to 50 vehicles. If you run more than 50, call 844-978-7283 to see what we can do for you. Some larger fleets fit the same carriers, and some don't, and we'll tell you plainly which yours is.

The details a carrier needs are largely the same as for a forty-truck fleet, just a longer list: vehicles, drivers, garaging and loss runs. You can also set the slider above past 50 and send them, and we'll call you to talk it through.

Questions from fleets of 26 to 50 vehicles

What do underwriters look at first for a 40-truck fleet?
Usually five years of loss runs: how often claims happen, what causes them and whether the trend is improving. The driver program and safety controls typically come next.
Do larger fleets get blanket additional insured endorsements?
Often, yes. A blanket endorsement generally extends additional insured status to anyone you've agreed in a written contract to cover, which saves issuing a change for each customer.
Can we write liability on an any-auto basis?
Some carriers will for a fleet this size, and others won't. Physical damage usually stays tied to the vehicles you list either way.
Do you insure fleets with more than 50 vehicles?
Our programs are built for fleets up to 50 vehicles. For a larger fleet, call 844-978-7283 to see what we can do for you.
How far ahead should a fleet this size start renewal?
Usually several months. An updated schedule and driver list, loss runs and notes on large claims take time to gather, and underwriters need time to ask questions.
